This is administrative and clerical work in support of a regional campus. The incumbent in this position is primarily responsible for assisting the Campus Director (or like senior administrative position), faculty and the Regional Campus Supervisor in the day-to-day operations and providing support tasks for the campus. Duties include providing service to students, faculty (teaching at the campus and liaison with faculty and staff at the North Vancouver campus), general public, and the Director; general clerical and reception support services related to the campus; assisting students with applications and registrations, and taking an active role in assisting with promotional and informational activities internally and external to the campus. The incumbent receives direction from the Regional Campus Supervisor, and reports to the Campus Director.
What you’ll do
• Facilitates communication and arrangements between the university and potential and current students, members of the public, community partners, faculty and staff. This includes responding to enquiries on courses, programs, registration and other university activities; referring those inquiring to relevant university resources or services; assisting with event/workshop lists, materials, and room bookings; preparing various documents aligned with brand and university formats (e.g. posters); uploading information to a web page, Wordpress, or social media; and coordinating any mailings.
• Assists faculty and campus Chair with student-related activities such as arranging testing, assessments, interviews, etc. for admission to courses or programs; providing procedural information to students to assist with application and course registration; liaising with program staff (Faculties and Registrar’s Office) at the North Vancouver campus to assist with proactive problem solving for high quality student experiences and access appropriate university records and systems in support of same.
• Assists in the promotion of programs. This includes answering enquiries; referring people to other campus services; advertising departmental services, offerings and outreach programs; preparing brochure and calendar information; uploading information to a web page; drafting and/or revising student handbooks and manuals; and coordinating mailings.
• Assists with program and workshop registration by creating, maintaining, and tracking files in both paper and electronic databases forms.
• Organizes events (internal and with external organizations/associations)
• Arranges and attends committee meetings; including preparing agenda and taking minutes.
• Organizes, updates and maintains computerized records including databases and spreadsheets.
• Sets up and maintains organized filing system including photocopying; maintains equipment and supplies, contacting service vendors when necessary.
• Word-processes a variety of materials including letters, reports, handouts, manuals, agendas and minutes.
• Maintains a schedule and follow-up system of matters outstanding, commitments, meetings and appointments, and ensures that deadlines are met.
• Performs support duties including ordering supplies, equipment and duplicating, maintaining files, lists and other records; and opening and distributing mail.
• Provides guidance and support to faculty and staff in the use of computers and software applications, phones, faxes and other office equipment.
• Prepares course outlines under the direction of faculty and provides soft copies for appropriate record keeping.
• Takes pictures for photo identification cards.
• Performs duties related to the campus facility in coordination with the Regional Campus Supervisor (e.g., opening, closing, classroom set up, working with Facilities and Information Technology)
• As needed collects book order from faculty and orders books from the bookstore, keeping an inventory and returning unsold texts at semester end.
• Ensures library and learning materials/equipment are in good condition and carries out repairs as needed; demonstrates correct usage of equipment to students and faculty.
• May be required to take training and act in the capacity of the floor warden as part of the University’s Emergency Preparedness Plan (Fire W.H.M.I.S., Earthquake).
• Performs duties related to the qualification and requirements of the position.
What you’ll bring
• Completion of one year (approximately 30credits) of related post-secondary education.
• Two years of directly related administrative support experience in an educational setting or public sector organization.
• Preferred: experience with content management systems, enterprise applications, and software applications (Banner, Argos, Ectron, Wordpress, Microsoft Office, Wordpress)
